How does it work?

You complete an Application Form
Please complete the form below with as much detail as you can, ensuring it’s written for the Website. Use key words, such as Pilot, training, xx name of the Airport, xx Airport Code (eg EMA) etc
Please attach 10-12 images, including the front of the property, at least 1 of each room and the garden if it can be used. It’s important to ‘sell’ your property using the images.
We will check distance to your local Airport and transport links

We may be in touch to ask a few more questions or request further images.
We need to make sure this market is right for your property.
We can discuss anything you weren’t sure of on the form and changes can be made.
You can have a look at your Listing and make changes as necessary.

We advise you of the result
We will let you know the result of your application.
If successful, we will set up your subscription (from £35/month, plus a one-off admin fee £30). Contract min 3 months, 3 month’s cancellation period (full terms are available within the subscription link).
If we are not able to accommodate you, we will give you the reason.

Your Profile and Calendar/s
We ask you to look over everything once more.
Your Calendars will be available for you to block out any dates you could not accept a pilot. It’s very important to keep them up to date as if a Pilot books, it’s a firm arrangement!
Not only will we be here to help, but you will have a group of Hosts, from both your Airport and from other locations, who would be happy to answer any queries or share documents etc.

How do I get paid?
Your hosts will pay you directly.
Please discuss with your bank or seek other appropriate advice if you are unsure as to which payment method to
use. It is not recommended to divulge bank details in an email. Many hosts prefer to use an online bank, eg Revolute
You must have a clear payment and cancellation policy*
Once you have received a booking you will contact the person to explain these along with the full process. We will have some templates that you can edit to suit your needs.

How many images do you need? Which should I post?
We would recommend around 10/12 photos. The images rotate and any more may not be seen whilst a viewer is on your page.
The images can have text added if you are able to do this before uploading.
Be sure to include an image of the front of the property along with all the spaces that will be used.
It’s a good idea to set the room up as it would look with someone staying…perhaps a cup on the side table, book on the bed, a lamp on to show how cosy it is?
Should I ask for a deposit?
We would recommend taking a holding fee. This is a reasonable amount (£100 or l0% is the option preferred by most hosts) This is not a deposit as it makes up part of the rent money but secures the booking for you.
Stayviation Accommodation Services recommends that you explain within your cancellation policy a specific clause
for Airline Staff, which makes your cancellation policy very clear. We recommend that the holding fee and/or rent payment (if for a short stay) is to be refunded in full should a change be necessary due to no fault of their own. If this were to happen Hosts/Managers should ask for written proof in the form of an e mail from the Airline and that it is sent to them without delay (48 hrs is the recommended time limit)
Pilots booking a room at one Airport may very occasionally be sent to another at short notice by their Airline. They have no choice but to cancel their booking and must be refunded in order for them to be able to book accommodation at their alternative location.
You are not obliged to refund the holding fee if they simply changed their mind.
The cancellation/booking terms must be sent to each customer at the point of booking. This must be carried out within the booking on the Stayviation site, so that there is evidence that you have sent the terms to the pilot. Communication may proceed elsewhere after this email, should you prefer.
How do I add my room info?
Once you have decided to join Stayviation you will receive an email with information about your account and this is when we will ask you more detailed information, for example will you provide a washing machine or washing service.
We want your page to look appealing whilst being informative and, therefore, we charge an onboarding fee of £25 to enable us to review and add your images, room and host information etc Any changes within the first month of onboarding are free of charge.

Why should I advertise my rooms on Stayviation and not Air BnB, Booking.com or SpareRoom?
Stayviation was created to be a ‘One Stop Shop’ for anyone who needs accommodation near a particular Airport. Many of these customers will regularly book rooms near various airports and will use Stayviation on a regular basis.
AirBnB charges Hosts 3% of the fee but also collects a fee in the form of a service charge (to the host) and cleaning fee (to the person booking their stay). We at Stayviation, feel that there should be no ‘hidden’ fees when booking a room.
Booking.com charges owners 15-18% of each booking.
Stayviation does not charge a fee but instead is a very affordable monthly subscription from £35/month and no charges to the customer. Note there is a one-off onboarding fee to contribute to the work getting your listing online.
Booking.com and AirBnB list rooms all over the country and it is difficult to find a suitable room that is also within commutable distance from the Airport of their choice, without a good deal of time-consuming research.
Once a customer selects their airport destination they will know that ALL rooms are accessible to their final destination and further filters will narrow down their search to leave them with a fantastic choice of rooms!
